How to use the time clock calculator

Enter the punch in time in Start and the punch out time in End for each day of the week, plus the minutes of unpaid break. The calculator comes preset for a typical time clock: each day is rounded to the nearest 15 minutes, the pay section is open, and overtime kicks in after 8 hours at time and a half. Change any of those if your workplace does it differently. Weekly hours appear in the table footer and the grand total is in the green bar.

Worked example with quarter hour rounding

You punched in at 7:52 am, out for lunch, and the clock recorded a 30 minute unpaid break. You punched out at 4:38 pm. The raw shift is 8 hours 46 minutes, less 30 minutes of break, which is 8 hours 16 minutes. Rounded to the nearest quarter hour that becomes 8 hours 15 minutes, or 8.25. Since it passes the 8 hour threshold, 8 hours are regular and 0.25 is overtime. At 18 dollars an hour, that day pays 144.00 regular plus 6.75 overtime.

Repeat that for five days and the week is 41.25 hours: 40 regular and 1.25 overtime. The calculator shows regular hours, overtime hours, and both pay lines, so you can check the stub line by line.

Rounding, the 7 minute rule, and fairness

Quarter hour rounding splits at 7 minutes: 7 minutes and under rounds down, 8 and over rounds up. Employers in the United States can round this way under the Fair Labor Standards Act, but it has to cut both ways over time. Overnight and split shifts

If you punch out after midnight, enter the real times. 11:00 pm to 7:00 am is read as an 8 hour shift, not a negative one. For a split shift, use two rows for the same day: add a second week block, or on the hours calculator add a second row and label both with the same day.

Daily vs weekly overtime

This calculator applies overtime per day, which is how California and a few other places do it. Federal overtime in the United States is weekly, over 40 hours. If the weekly rule applies to you, blank the threshold, read the week total, and count anything over 40 as overtime. The regular and overtime pay lines will then show base pay only, and you can add the overtime premium by hand.

Common mistakes

• Entering the lunch punch times instead of the break length. Use the total unpaid minutes, such as 30.
• Mixing 12 hour and 24 hour formats on one row. Either works, but 4:38 with no pm is early morning.
• Assuming rounding is per punch. This tool rounds the day's total. The difference is usually zero and never more than a few minutes.
